Terms and Conditions

Welcome to Mount Elgon Trekkers. By using our website or booking any of our tours or services, you agree to these Terms & Conditions. Please read carefully.


1. Definitions

  • We / Us / Our means Mount Elgon Trekkers.

  • You / Client / Guest / Traveller means any person booking or participating in our tours or services.

  • Booking means reservation of any tour, hike, activity, package, accommodation or related service.

  • Services means all hikes, guided tours, day hikes, multi‑day treks (Mount Elgon, Sipi Falls, etc.), abseiling / rappelling, coffee tours, sunrise/sunset walks, accommodations etc.


2. Booking & Confirmation

  • Tours are booked once you pay the required deposit (or full payment, if required), and we send you a confirmation (via email or other agreed communication).

  • You must provide accurate and complete details: names, health conditions / mobility restrictions, emergency contact, etc.

  • We reserve the right to decline or cancel bookings if information provided is false, misleading, or incomplete.


3. Prices & Payments

  • All prices given are in the currency specified on the website (e.g. USD or Ugandan Shillings).

  • Prices may include local taxes, guide fees, park fees, meals, accommodation (when applicable) – specifically as described for the tour. Anything extra (optional excursions, personal items, tips, drinks, transport outside the specified itinerary) is not included unless stated.

  • A deposit may be required to confirm a booking; final payment must be cleared no later than a date we specify before the tour starts.


4. Cancellation & Refund Policy

  • If you cancel [set period, eg 48‑72 hours] before the tour/activity begins, you may receive a full or partial refund (depending on how early).

  • If cancellation is made too close to the start time (e.g. less than 24 hours), or in case of “no‑show”, no refund may be given.

  • We also reserve the right to cancel or modify tours due to force majeure (weather, governmental regulations, natural disaster, etc.). In such cases, we will offer a full refund or an alternative option.


5. Changes & Modifications

  • You may request changes to your booking (itinerary, dates) provided you do so by a certain deadline (e.g. at least 24 hours before departure), subject to availability and any extra cost.

  • We may change route, accommodation, guide, or schedule when necessary (for safety, weather, or operational reasons). We will inform you as soon as possible of any major change.


6. Health, Safety & Responsibility

  • You are responsible for ensuring you are physically able to participate in the chosen activities. If you have health issues, mobility limitations, allergies etc., inform us in advance.

  • Our guides will provide safety instructions and (where relevant) safety equipment. You must follow all guidelines and instructions.

  • Participation is at your own risk. We are not liable for injury, loss, damage or delays that arise from your own negligence, failure to follow instructions, or factors outside our control.


7. Travel Documents & Permissions

  • You are responsible for having valid travel documents: passports, visas, permits, vaccinations as required to enter Uganda or for the specific tours.

  • We are not responsible if you are denied entry or access due to failure to satisfy entry or permit requirements.


8. Liability Limitations

  • To the fullest extent allowed by law, our liability is limited to the amount you paid for the booking/service.

  • We are not liable for: personal injury beyond what is covered by our negligence; loss, theft or damage of personal items; delays or interruptions due to weather, road or transport issues, governmental restrictions or force majeure.


9. Guest Conduct

  • You agree to treat our guides, local communities, fellow travellers, wildlife and environment with respect.

  • Illegal behavior, misconduct, harassment or failure to follow rules or guides’ instructions may lead to being removed from a tour or activity without refund.


10. Use of Images & Testimonials

  • During tours, we may take photos/videos of the experience. By participating you agree to us using them for marketing or promotional purposes, unless you explicitly request otherwise.

  • We may ask for feedback or reviews. We’ll use anonymised or attributed testimonials unless otherwise requested.


11. Governing Law & Dispute Resolution

  • These Terms & Conditions are governed by the laws of the Republic of Uganda.

  • Any dispute arising out of or in connection with these Terms shall first be attempted to be resolved by mutual discussion. If not resolved, the courts of competent jurisdiction in Uganda shall have the authority to settle disputes.
